The Coquitlam Skating Club is looking for a part-time/full-time Office Manager/ Administrator who can assist with the day to day operations of our Club.

About us:

We are one of the largest skating clubs in the metro Vancouver area. We are a community based skating club that offers a whole range of Skate Canada programming from CanSkate and Power Skating through to adult and elite level figure skating. The club has produced many high level national and international skaters in its almost 60 year history and has over 400 members. We have the privilege of operating out of the modern Poirier Recreation Complex in central Coquitlam where we have access to 3 skating rinks and several different facilities to offer our off ice programs.

Your contribution:

As the Administrator, you will play an essential role in ensuring that the Club continues to thrive in meeting the needs of our many skaters, families and coaches. This position will allow you to develop and demonstrate your problem solving and communication skills. Having a background in figure skating would be beneficial but is not a necessity. We are looking for a motivated person who understands how to meet clients needs. Training can be provided. This is a unique opportunity to work within a great skating community and we offer a combination of working from home and in an office environment.

Your responsibilities will include (not limited to):

  • Manage and maintain Club skater registration via Uplifter software.
  • Generate master skater list for each session, print list, skater group sheets, name tags, enter skaters’ achievements into the system.
  • Reconciliation of online and manual registrations against payments.
  • Process refunds from registration changes.
  • Filing important documents, such as reports, meeting notes, emails, contracts and letters.
  • Overseeing all incoming and outgoing communications including emails, phone calls, reports, in person inquiries and internal correspondence
  • Update communication on website and social media when needed.
  • Provide planning and organizing events that take place internally and externally.
  • Liaise with arena staff on logistics to ensure flooding and off ice rooms are available at scheduled times.
  • Forward invoices to Treasurer and follow up to ensure payments made.
  • Order and pick up stationary and office supplies.
  • Work closely with the Club’s Director of Operations to problem solve issues in a collaborative manner.
  • Work directly with the Coquitlam Skating Club membership, coaches and Board of Directors as needed.
  • Perform other general administrative duties as required.
  • Track stocks of office supplies and place orders when necessary.
  • Managing customer relationships

Job requirements:

  • You will need strong organizational and communication skills to achieve your day-to-day responsibilities.
  • Managing our registration via Uplifter is an essential part of the position and knowledge of Uplifter is an advantage. Training can be given to someone with strong computer skills.
  • Previous skating and/or coaching background is an advantage.
  • Knowledge of a second language is a bonus but not a necessity.

Time commitment:

  • This position allows for a combination of working from the Poirier office and working from home.
  • Negotiable working hours: 15-40 hours a week.
  • On ice coaching to supplement your salary is a possibility for the right person.
